To facilitate document integration, W4 has developed a module, W4 Document Access Layer - DAL to manage documents handled in the workflow; it supports the integration of W4 BPM Suite with off-the-shelf EDM solutions (Electronic Document Management) - also known as ECM (Enterprise Content Management).

The aim is to provide components for integration with document management systems, which will be accessible from:
  • Process modeling in W4 Studio, to define and customize these interactions
  • Workflow application user interfaces orchestrated by W4 BPM Engine to manipulate documents interactively
  • Connectors, to interact automatically without user intervention
Based on a system of drivers, W4 DAL is independent of the EDMS implemented in the company. It supports, with the same process, documents from various sources.

Document Access Layer Features

The main ECM system interaction features are twofold:

1. The ability to take into account an ECM document or folder during the execution of the associated workflow application with the possibility of:
  • Adding or consulting one or more documents in a folder in the repository and their associated attributes or properties (metadata), the possibility of deleting documents.
  • Finding a file or a document on the basis of contextual workflow data.
  • Checking-Out/Checking-In of a document during a controlled updates which can be recorded as a new version (document review).
2. The availability of a set of connectors for carrying out identified actions on objects in the ECM repositories:
  • Creation of folders
  • Updates of attributes / metadata
  • Copying of a document from one repository to another
  • Generation of documents from a template and insertion in a selected repository
